Job Title: Event Tech Support Senior Specialist
Location: Tokyo, Marunouchi

Job Type: Full-Time

Job Summary: We are seeking an experienced Event Tech Support Specialist to join our dynamic team in Tokyo. The ideal candidate will have practical experience with coordinating online and off-line events for a large-scale client in Tokyo. Experience with leading event projects and managing the full cycle from planning, set-up, delivery and reporting. In addition, the person will need to interact with C-level and executive level clients for tech support and event management so they need to be able to communicate effectively at the executive level.

Key Responsibilities:

Event Management:

  • Oversee the planning, coordination, and execution of large-scale events (online and in-person. streaming, etc.)
  • Develop event concepts, themes, and objectives in alignment with client needs.
  • Create and manage event budgets, timelines, and logistics plans.
  • Coordinate with internal teams and external vendors to ensure seamless event execution.

Client and Stakeholder Communication:

  • Serve as the primary point of contact for C-suite and executive-level leaders.
  • Maintain clear and proactive communication with clients throughout the event lifecycle.
  • Conduct regular meetings and briefings to update stakeholders on event progress.
  • Address and resolve any issues or concerns promptly and professionally.

Team Leadership:

  • Lead and mentor a team of support specialists and event coordinators.
  • Delegate tasks effectively and ensure team members are meeting performance expectations.
  • Foster a collaborative and positive working environment.

Vendor and Partner Management:

  • Establish and maintain strong relationships with vendors, suppliers, and service providers.
  • Negotiate contracts and agreements to secure the best terms and services.
  • Ensure all partners meet quality and service standards.

Logistics and Operations:

  • Oversee all logistical aspects of events, including venue selection, setup, and breakdown.
  • Ensure all technical and audiovisual equipment is functioning correctly.
  • Implement and monitor health and safety protocols for events.

Post-Event Analysis:

  • Conduct post-event evaluations to gather feedback and measure success.
  • Prepare detailed reports and presentations for clients and senior management.
  • Identify areas for improvement and implement best practices for future events.

Qualifications:

  • University degree or equivalent; relevant certifications or coursework in media, technology, or a related field is a plus.
  • Advanced understanding of audio and visual equipment and their setup.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and manage time effectively.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work flexible hours, including evenings and weekends, as required.
  • Previous experience in a similar role is an advantage but not mandatory.
  • Fluency in Japanese; English proficiency is a plus.
