Job Title: Event Tech Support Senior Specialist

Job Summary: We are seeking an experienced Event Tech Support Specialist to join our dynamic team in Tokyo. The ideal candidate will have practical experience with coordinating online and off-line events for a large-scale client in Tokyo. Experience with leading event projects and managing the full cycle from planning, set-up, delivery and reporting. In addition, the person will need to interact with C-level and executive level clients for tech support and event management so they need to be able to communicate effectively at the executive level.
Key Responsibilities:
Event Management:
- Oversee the planning, coordination, and execution of large-scale events (online and in-person. streaming, etc.)
- Develop event concepts, themes, and objectives in alignment with client needs.
- Create and manage event budgets, timelines, and logistics plans.
- Coordinate with internal teams and external vendors to ensure seamless event execution.
Client and Stakeholder Communication:
- Serve as the primary point of contact for C-suite and executive-level leaders.
- Maintain clear and proactive communication with clients throughout the event lifecycle.
- Conduct regular meetings and briefings to update stakeholders on event progress.
- Address and resolve any issues or concerns promptly and professionally.
Team Leadership:
- Lead and mentor a team of support specialists and event coordinators.
- Delegate tasks effectively and ensure team members are meeting performance expectations.
- Foster a collaborative and positive working environment.
Vendor and Partner Management:
- Establish and maintain strong relationships with vendors, suppliers, and service providers.
- Negotiate contracts and agreements to secure the best terms and services.
- Ensure all partners meet quality and service standards.
Logistics and Operations:
- Oversee all logistical aspects of events, including venue selection, setup, and breakdown.
- Ensure all technical and audiovisual equipment is functioning correctly.
- Implement and monitor health and safety protocols for events.
Post-Event Analysis:
- Conduct post-event evaluations to gather feedback and measure success.
- Prepare detailed reports and presentations for clients and senior management.
- Identify areas for improvement and implement best practices for future events.
Qualifications:
- University degree or equivalent; relevant certifications or coursework in media, technology, or a related field is a plus.
- Advanced understanding of audio and visual equipment and their setup.
- Strong organizational skills and attention to detail.
- Ability to multitask and manage time effectively.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work flexible hours, including evenings and weekends, as required.
- Previous experience in a similar role is an advantage but not mandatory.
- Fluency in Japanese; English proficiency is a plus.
